POSITION SUMMARY
The Accounting and Administrative Assistant performs various accounting, administrative and customer service tasks to assist with the smooth operation of the organization. This role will serve as a primary receptionist to our offices, greet customers, support office operations and business event planning.
Responsibilities
Perform accurate and timely data entry into accounting software and financial systems.
Assist with accounts payable by entering vendor invoices, matching supporting documentation, and preparing payments.
Assist with accounts receivable by posting customer payments, reconciling accounts, monitoring outstanding balances, and following up on past-due accounts.
Assist with payroll processing, including maintenance of time records, maintaining payroll records, and preparing payroll-related reports.
Reconcile bank accounts, credit card statements, and other general ledger accounts.
Process purchase orders and maintain supporting purchasing documentation.
Process employee expense reports and maintain petty cash records.
Process incoming email correspondence and ensure proper filing and distribution of accounting-related documents.
Generate, review, and distribute customer invoices in a timely manner.
Organize, scan, index, and maintain electronic and paper documents and records.
Set up and maintain customer and vendor records within the accounting system.
Communicate professionally with customers, vendors, and internal departments regarding invoices, payments, account balances, and routine accounting inquiries.
Assist with inventory, purchasing, and receiving transactions by entering and reconciling related records as needed.
Prepare spreadsheets, reports, and financial summaries for management.
Assist with month-end and year-end closing activities, including account reconciliations and maintaining supporting schedules.
Maintain organized accounting files and supporting documentation in accordance with company policies and record retention requirements.
Assist with sales tax reporting and provide supporting documentation for audits and tax preparation.
Maintain office supplies and provide general administrative support to management.
Participate in special projects and perform other accounting and administrative duties as assigned.
Comply with worker safety, biosecurity and food safety regulations and maintain clean and orderly work areas.

Complete other assignments and special projects as requested.
Job Qualifications
Associate’s degree preferred or equivalent education and experience
Experience
3-5 years of accounting administration
Proficiency in Microsoft Office Suite
10 key proficient
