POSITION SUMMARY

The Administrative Assistant performs various administrative, accounting, human resources and customer service tasks to assist with the smooth operation of the organization. This role will serve as the receptionist to our offices, greet customers, support office operations and business event planning.

Responsibilities

  • Perform general office administration and clerical tasks, including data entry, electronic document organization, greeting visitors and directing phone calls and email correspondence.

  • Perform basic accounting data entry and processing including expense reporting, credit card reconciliations, accounts payables/receivables and customer invoicing.

  • Assist in the procurement process by creating purchase orders, placing orders, obtaining quotes, and tracking shipments.

  • Ensure office supplies are inventoried and ordered. 

  • Coordinate internal mail and package delivery process.

  • Create basic charts and graphs in Excel for business related measurements.

  • Schedule and coordinate meetings, interviews and customer visits.

  • Support on-site visitors by preparing and organizing conference rooms, refreshments, meals and ensuring facility cleanliness.

Job Qualifications

  • High School Diploma or equivalent, required

Experience

  • 3-5 years of general office, purchasing and accounting administration

  • Proficiency in Microsoft Office Suite

  • 10 key proficient

Required Knowledge, Skills, & Abilities

  • Microsoft Office proficiency.

  • Excellent oral and written communication skills.

  • Excellent interpersonal skills.

  • Management of confidential information and documents.

  • Employee file management.

  • Basic accounting principles.

  • Keyboarding 60 words per minute minimum.
